Membership fee invoices as a batch

From a table with member, address, amount, period and member number you get one invoice per row as a PDF. All of them come together in one ZIP, numbered in sequence, with a bank transfer QR code. You see the first one as a preview first. Up to 200 rows at once.

Applies to Germany. Deadlines, tax rates, public holidays and requirements on this page follow German law. Austria, Switzerland and other countries have different rules.
Help with writing, not legal adviceThe invoices carry the same details as the tool “Write an invoice” (German). The invoices themselves are in German, because they follow German law and go to members in Germany. Whether your fee is subject to VAT, whether you are a small business, or whether a fee needs an invoice at all is not decided by this tool. If in doubt, ask your tax office or your tax advisor.

The invoices

The digits at the end count up: 2027-001, 2027-002 …

The day or the start of the period the fee covers. If a row has its own period, that one applies.

The members

One row per invoice. Copy the table from Excel or choose a CSV file. With a header row I recognize the columns by their names (member, address, amount, purpose, period, member number, in English or German), in any order; you can leave out purpose, period and member number. Without a header row, exactly this order applies. In the address, a vertical bar or a comma separates the lines: “Weg 1|12345 Ort”.

The invoices are created as soon as everything above is right.

Goes well with: Write an invoice (German) · SEPA direct debit (German) · Payment reminder (German) · Mail merge letter (German)

Names, addresses and amounts stay on this device. The PDFs and the ZIP are created here in your browser, nothing is sent or saved.

How it works
  1. 01Enter your club name, your address, tax number and IBAN, and set the date, starting number and service period.
  2. 02Paste the member list or choose a CSV file. Every row needs member, address and amount, plus purpose or period. A template is available as a sample CSV.
  3. 03Fix what the red box says and look at the first invoice in the preview. Then download the ZIP: one PDF per member, named after number and name.

What is on every invoice. The same details and the same checklist as “Write an invoice” (German), following § 14 of the German VAT Act (UStG): sender and recipient with address, tax number or VAT ID, date of issue, sequential number, service, date of service, amount charged and a note or the tax amount. If a detail is missing, no invoices are created. The invoice text is German.

VAT. You choose what is on all invoices: the note on § 19 UStG (small businesses), your own text, or a tax rate (the amount in the table then counts as the gross amount). Which choice is right for you is something this tool does not know.

Period and member number. If a row has a period, it applies to that invoice instead of the details above: a year (2027), a month (03.2027), a day (15.03.2027) or two dates joined by a hyphen (01.01.2027-31.12.2027). The member number appears in the header of the invoice. If there is no purpose column, the invoice names „Mitgliedsbeitrag“ (membership fee) as the service.

Numbers. The first invoice gets your starting number, every further one the next. The order is that of the table. Never use a number twice: if you create more invoices later, start with the next free one.

Table. I detect the separator (semicolon, tab, comma) myself. Amounts like 60.00 or 1,234.50, or in German notation as a German Excel writes them (60,00 or 1.234,50), at most two decimal places, greater than 0. Dates as DD.MM.YYYY. I cannot open Excel files (.xlsx): save as “CSV UTF-8” or copy the table into the field. If the table is broken, I name the row and what is missing.

Limits. At most 200 rows, one item per invoice, no logo, no credit notes. Characters the PDF font does not know are replaced by similar ones or by “?”.
