Parents' evening pack

Enter class, date and place once, plus the agenda. You get an invitation with a reply slip, an attendance list, minutes and, if you like, a parents' letter, all in one PDF. The PDF is in German, for German schools.

Applies to Germany. Deadlines, tax rates, public holidays and requirements on this page follow German law. Austria, Switzerland and other countries have different rules.

What goes into the PDF?

Class, date and place

You enter this once and it appears in every part. Your entries stay on this page only, your browser remembers nothing.

Agenda and invitation

At most 12 items. They appear in the invitation and in the minutes.

For example: Please bring indoor shoes. The children cannot be looked after.

Attendance list

At most 300 names. You can paste them from a spreadsheet. The names do not leave this device.

Parents' letter

The salutation and the closing are already there, in German. A blank line starts a new paragraph, at most 2,500 characters.

When printing, choose “Actual size” or “100%”. The attendance list contains names: do not pin it up, and lock it away after the parents' evening.

Nothing leaves this device. The names and all texts stay in your browser, the PDF is created here and is not uploaded.

How it works
  1. 01Choose the parts, then enter class, date and place. They apply to all parts.
  2. 02Enter the agenda, the children's names and, if you like, the text of the letter. The preview shows the first page.
  3. 03Download the PDF, print it, copy the reply slips and tear them off.

Reply slip. The invitation and the parents' letter end with a slip to tear off. It has the child's name, two boxes (taking part or not, for the letter: read) and the signature.

Form of address. The invitation and the letter address parents formally, as is usual at German schools.

Limits. Only the Helvetica font, which every PDF program knows: characters outside Western Europe appear as question marks, and the page tells you. A4 portrait, black on white. The texts are templates, not legal advice. The rules for invitations, quorum and parent representatives are in the school regulations of your federal state (Bundesland).
